Online sellers rarely have one clean payment stream. Orders, refunds, platform fees, reserves, payment processors, and VAT lines can all move on different schedules.

If the reconciliation waits until month-end, the close becomes a search project. The better approach is to define the checks before the period ends.

What to check every month

  • Payouts against marketplace statements
  • Refunds and chargebacks
  • Platform fees and advertising charges
  • VAT, OSS, and country-level tax lines
  • Timing differences between order date and payout date

The owner does not need every detail in the monthly report. But the accounting file needs enough detail to prove the number.

The habit that helps most

Keep an exception list during the month. A short list of unresolved items is easier to clear than a full platform export reviewed from scratch.
